Business Tools to Take Your Business Further Faster

By , About.com Guide

A desk and a landline aren't going to get you far if you want to do business nowadays. A computer with Internet access and an email program are necessities. But those are just the basics. You'll also need a variety of business tools to manage your business and communicate with your customers and/or clients. Here are my picks for the best business tools to help your business get further faster.

1. Apple iPad 2

Besides being a fun way to read and respond to email and social network, there are all kinds of business apps that can make the iPad 2 a powerful business tool. But perhaps the iPad's most powerful business capability is its ability to serve as a POS system for retail businesses.

2. phone - Apple iPhone 4S

A landline with some basic phone services lets you make and take phone calls, but a smartphone can do so much more. Take, for instance, Apple's iPhone 4S. With the graphical processing power of a dual-core A5 processor, an 8-megapixel camera, and features such as FaceTime, HD video recording and editing and Siri voice recognition, making and taking phone calls is just the beginning of the iPhone S4’s business possibilities.

No business can survive long without proper money management, making small business accounting software a must-have business tool. Intuit's Quickbooks Pro lets you track the money flowing in and out of your business, manage your inventory and your employees, analyze your financial performance, and more. It's a great "all-in-one-place" financial management tool.

4. office suite – Microsoft Office Professional 2010

Microsoft Office 2010 ProfessionalPriceGrabber.com

Microsoft Office is my workhorse of choice because of its combination of features and applications integration; I find it really useful to be able to keep a database of contacts within my email application (Outlook with Business Contact Manager) or import data from a database (Access) into a spreadsheet format (Excel). The new features in the 2010 Professional version make it even easier to do more faster making it a great pick for a business gift. Office 2010 Professional includes 2010 versions of Word, Excel, PowerPoint, OneNote, Outlook, Publisher and Access.

5. task management - Microsoft Outlook 2010

I know some people don't like it, but I think MS Outlook is the greatest thing since the invention of the Day-Timer for organizing, managing tasks, and communicating with groups of people. It's the integration that sells me on this small business tool. Calendars, task lists and upcoming appointments are all directly available when you're reading a specific email message, making staying organized easier, and there are scads of information-sharing features that you can use to share anything from calendars through contacts with others. And, of course, it's an email program - one that lets you do things that other email programs don't.

6. Best All-Purpose Cloud App – Google Apps

There are others, but this is the one that I use. While sign up can be a bear if you're not starting from scratch, (here's how to get around the problem) once you're in, the apps are easy to use and I particularly like the collaboration features of Google Docs and Google Sites. I recommend Google Apps for Business (currently only $5 a month per user with an unlimited number of users) because of the additional apps such as Google Groups. Particularly for a startup or a business with no existing website, this is a quick, relatively easy way to get a whole package of vital business tools in place. Read my How to Set Up Google Apps series.

7. backup software – EMC Retrospect for Windows

Backup software is another small business tool that no small business should be without. If you’re not doing regular data backups, you’re running the risk of losing all your business data. My pick for this small business tool is EMC Retrospect Professional; it's designed for home and small businesses who want data backup protection for a single Windows computer and up to two additional networked computers and is easy to set up and use. Once you have this top backup software set up, backups are automatic, fast and accurate - providing full data protection. You'll also be able to perform Smart Restores and Automatic Disaster Recovery.

8. UPS – CyberPower CP1500PFCLCD Pure Sine Wave UPS

CyberPower CP1500PFCLCD Pure Sine Wave UPSPriceGrabber.com
When the power goes out, you'll wish you had put an Uninterrupted Power Source (UPS) at the top of your must-have business tools list. A good UPS does two things; protects your electrical equipment (such as computers) from power surges and outages, and protects your business data by keeping your computer up and running during an outage. CyberPower’s CP1500PFCLCD Pure Sine Wave UPS is very good at both of these things and its Sine Wave power ensures that your power supply stays uninterruptible. It's also a big plus that CyberPower provides a $500,000 equipment guarantee in case of failure.

9. CRM – Maximizer Software

To call Maximizer CRM software a contact manager is to seriously undervalue it. Maximizer uses contact management as the starting point for building relationships with clients and/or customers and maximizing sales and it does what it does very well. The Entrepreneur Edition of Maximizer CRM is designed for entrepreneurs, small business owners, and sales professionals working by themselves or with a team of up to five people. Team, Group and Enterprise versions are also available.

10. printer - Brother MFC-9840CDW Color Laser Multifunction Printer

Brother MFC-9840CDW Multifunction Color Laser PrinterPriceGrabber.com
A multifunction printer is a great small business tool because it's like having an office in a box – a printer, fax, copier and scanner all in one, saving both office clutter and expense. And getting a multifunction color printer is best of all because then you can print your own marketing materials, too. My pick, Brother’s MFC-9840CDW Color Laser Multifunction Printer, provides fast, quality printing (up to 21 ppm in both black and white and color), and, thanks to its built-in automatic duplexing, two-sided printing, scanning, faxing and copying. It also has built-in networking and wireless capability, and even a toner save feature.

11. digital voice recorder - Olympus DS-420 Digital Voice Recorder

Olympus DM-420 Digital Voice RecorderPriceGrabber.com

Digital voice recorders are handy small business tools to have if you need to know what you thought or what they said. I find them ideal for recording ideas on the go. They’re also great for recording business meetings. The Olympus DS-420 is one of the company's most sensitive recorders and is a great pick for those looking for quality sound recording. With 533 hours of recording time in LP mode with 2GB internal memory and 51 hours of battery life with USB recharging, it's also a great pick for people who want lots of worry-free recording time and a lot of space for files.

12. collaboration tool - Vyew

In these days of increasingly expensive airfares and environmental concerns, web conferencing is the way to meet and collaborate. It's cheaper, it's greener and it's better for the participants, who will never suffer from jetlag or lost luggage. Vyew is my choice for a web conferencing small business tool. It lets you conduct meetings in real time using a shared workspace (with features such as teleconferencing and text chat), but one of the really nifty things about it is that you can leave content up, so participants can edit and comment over time as well. Vyew can be used for free or for a fee, depending on the service package you choose.
